How to embed video in Salesforce email campaigns

In this tutorial you will learn how to create, add and send a Salesforce Video Email, that plays automatically at the moment of opening.

Step by Step guide on how to embed video in Salesforce email

1. Create an email using Content Builder

Once logged into your Salesforce account proceed to Content Builder to create a new email using your usual approach.

2. Choose a template

Within Content Builder select the template you’d like to use for this video email campaign by simply clicking on the template and then click on the “Select” button.

We have selected the Hero 1 column template for this tutorial.

Next define the email properties. Enter a name for the email campaign you are creating and add a brief description to ensure you can recall the campaigns purpose when you revisit it in the future.

Finally select the location where you wish this email campaign to reside within your Salesforce account and then click the “Next” button

3. Add content to your email

The task now is to place your content into the template using the editing tools as per your standard approach.

As you add the content into your email you should think about where you’d like to embed your video content within the email.

This position can simply be where one of the image blocks are within the pre built template, or you can drag an image content block into the email as a position holder for where you want the video to be featured. 

Finally add a Subject line to your email and any pre header you wish to include. Click “Next” to continue.

4. App Exchange

Hover over the Salesforce logo in the top left corner of the page to reveal the top navigation menu. Select “Playable” from your AppExchange drop down listing.

5. Playable Console – create your video content.

You are now going to create the video content which is to be featured in your email.

The first step is to select “Add a Video” which commences the video creation process.

6. Adding your Video to Playable

Enter a Video Title for the Video you are creating, this will help identify the Video in reporting.

You have 2 options on how to upload your video content to Playable:

  1. URL – Copy and paste a URL of the location of your content. Playable accepts content from all the major hosting platforms including YouTube, Vimeo, Brightcove, Wistia , Facebook and Instagram
  2. File Upload – Upload a file from your computer – all video file formats are accepted including mp4, avi, movi and flv.

Once you have selected your video click the “Apply” button to upload your video file

7. Summary of your Video

Once you have uploaded your video it will be shown on the “Summary” page. Playable automatically creates a 10 second version of your video which is shown here, this can be changed later if you wish.

At the foot of this Summary page is a list of the key tasks you’ll need to complete to create your video email.

8. Setting the default image

Circa 2% of your recipients will not have the ability to experience video playback within their email. These recipients will be shown a still image instead of the video.

Select the “Advanced” prompt to commence this process.

Here we will select the still image to be shown by capturing an image from the video we uploaded.

9. Edit your Video 

Having completed the configuration of your “Video” it is now time to edit your video. To commence this click the “Editor” option in the left hand Navigation bar.

When editing your Video we recommend a maximum duration of 10 seconds. Our editor is designed to enable you to create a 10 second edit from the full-length video content you uploaded. It is this 10 second edit that will be published in your video email. In the editor you can crop the video to focus on your key content and select multiple clips to make up the 10 second video email.

As you are creating your video email content the editor will show you the duration of each clip and allow you to preview the edit and re edit until you are happy with your final cut. Once you are happy with your edit click the “Continue” button.

10. Add enhnacements to your Video

You are now ready to add any enhancements to your video email including captions, a watermark, endcard or footer.

Simply select the enhancements you wish to add and follow the onscreen prompts to add your chosen enhancements.

You can also add a link to where any clickers on the video should be re directed, this will generally be the page where the hull video is hosted.

You now have completed creating your video email so click the Compile button.

Playable now compiles this video email into over a hundred versions of the which will be used to ensure each recipient receives the video file most suitable for their device, bandwidth and connection.

11. Interaction – Add a Click through URL

Click “Click Actionin the left hand navigation bar. As the video is playing within the recipients email you have the option to include a click action within the video.

This click action can either open a URL or continue to play the video and audio on the device, having selected the option you will then need to add the details to support this and finally click the “Apply” button. 

12. Preview & Sample your Video Clip

Here you can sample your video clip including any enhancements you have added. Before you add your video clip to your the email template you can send a sample of the video to yourself and colleagues, to check all is looking good when it arrives in the inbox.

You can add a message at the head of these emails if you wish, this can be useful when you are circulating for internal feedback. Once you are happy with the sample click “Embedin the left hand navigation bar.

13. Embed your video in Salesforce

To embed your video in your Saleforce template click the “Select Campaign” button to reveal a drop down of campaigns you have created in your Salesforce account.

Select the email campaign from the drop down which you wish to embed the video within.

14. Embed your Video into your email template

To embed your video into your email template simply click the image placeholder where you wish to replace with your video content.

On hovering over this placeholder the frame will adopt a red frame.

Once you click on the placeholder you have selected the position for your video clip which will instantly appear in your template.

To embed this video into your Salesforce template simply click the “Create new campaign” button

15. Complete your campaign set up, testing and send

Click the prompt on the page “Click to view your new campaign in Salesforce Marketing Cloud

Add your recipient list to the campaign and your test email addresses, proceed to test and then you’ll be ready to send either immediately, or by scheduling using the Salesforce scheduling feature.
